Terms of Service

Last updated: 27 August 2026

These Terms of Service ("Terms") govern access to and use of Cep (the "Service"), provided by [Business/Trading Name — e.g. "Cep", a sole trader business operated by [Your Name], registered address [Address], United Kingdom] ("we", "us", "our"). By creating an account or using the Service, you agree to these Terms. If you don't agree, don't use the Service.

1. What the Service is

Cep is menu and recipe costing software for UK kitchens and hospitality businesses, including: dish and recipe costing, AI-assisted extraction of prices and recipes from photographed or uploaded documents, allergen flagging, dish specification sheets, batch prep costing, and (on applicable plans) Clean Sheet food safety tools — daily temperature check logging, inspection-ready exports, and a house rules reference for UK/Scotland food hygiene practice.

Important — read this bit. Cep is a tool to help you record, calculate, and organise information. It does not replace your own professional judgement, food safety training, or legal obligations as a food business operator. Allergen information, temperature logs, and house-rules guidance produced or stored through the Service are only as accurate and complete as what you and your staff enter, photograph, or confirm. You remain solely responsible for food safety, allergen labelling, and regulatory compliance in your business. We are not a substitute for environmental health advice, a qualified food safety consultant, or your own due diligence.

2. Accounts

3. Subscriptions, trial, and billing

4. Acceptable use

You agree not to: use the Service for anything unlawful; attempt to gain unauthorised access to other accounts or our systems; reverse-engineer or resell the Service without permission; or upload content you don't have the right to use. We may suspend or terminate accounts that breach this.

5. Your data

You own the business, menu, recipe, and food safety data you put into the Service. We process it as described in our Privacy Policy, including sending photographed documents and dish images to a third-party AI provider for extraction purposes. We don't sell your data.

6. Intellectual property

The Service, its software, design, and branding belong to us. These Terms don't transfer any of that to you — you get a licence to use the Service for your business while your subscription is active.

7. Availability and changes

We aim to keep the Service available and reliable but don't guarantee uninterrupted access. We may update or change features over time, and will try to give reasonable notice of changes that materially affect you.

8. Limitation of liability

To the fullest extent permitted by law: the Service is provided "as is" without warranties of any kind. We are not liable for indirect, incidental, or consequential losses (including lost profits or lost data), or for regulatory, food safety, or allergen-related liability arising from your use of the Service or reliance on information it stores or generates. Our total liability to you for any claim is capped at the amount you paid us in the 12 months before the claim arose. Nothing in these Terms excludes liability that cannot be excluded by law (for example, death or personal injury caused by our negligence, or fraud).

9. Termination

You can stop using the Service and cancel your subscription at any time. We may suspend or terminate your account if you breach these Terms, or with reasonable notice for any other reason. On termination, your right to access the Service ends; see our Privacy Policy for how long we retain your data afterwards.

10. Governing law

These Terms are governed by the laws of England and Wales, and any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
